Automated User Integration consists of scheduled file transfers between your HRIS or CRM system and LatitudeLearning. Automated data integration is another way to increase accuracy and reduce cost by nearly removing the daily administration and maintenance that is required in a complex training environment.
In order to set up full data integration, several components need to be in place:
FTP connection
– Since data will be transferred from your HRIS system to LatitudeLearning, a secure connection between the two systems will be created. Credentials will be provided to your network team so they can schedule regular data transfers between the native system and LatitudeLearning’s FTP site. Because user data can be updated at any time, daily transfer is recommended.
Error reporting
– After an integration script runs, an error report is generated and sent by email to a pre-populated distribution group. The error report will point out errors that can be resolved in the HRIS system. These errors are often due to sequence issues, i.e. the user is new to the native system and user data may be incomplete. Typically issues are resolved on the client-side and should take under a day.
User Data Table
– Since the purpose of full data integration is to synchronize user location and position code data between your HRIS or CRM and LatitudeLearning, a User Data Table will be created as a .csv or .xls file and transferred by FTP to Latitude each day. The required fields are standard and will be defined in planning meetings with Latitude’s Implementation Team. Keeping users synchronized through a user data feed script will result in little or no administrative overhead cost – and accuracy will be high since the user data received by Latitude will always be consistent with data from the native HRIS or CRM system.
Along with automated organization integration, full data integration guarantees data is synchronized between two systems. LMS Administrators will have fewer daily maintenance tasks since user and location data will always be accurate between the two systems. As an employee changes position codes or locations, Automated User Integration will be reflected in LatitudeLearning as soon as the data is received and posted.
