Inactive Profile Enrollments: Cancel or Move
The home page "History" tab displays a user's course transcripts and the organization at which he is training. When a user moves from one Location to another, standard LMS behavior is to cancel all enrollments. When activated, the new "Move Enrollments" feature prevents the system from cancelling open enrollments, and instead moves them to the student’s new location, when possible.
Using Move Enrollments Feature
To use the Move Enrollments feature, go to the Site Management > LMS Information page and check the box for Inactive Profile Enrollments – Move Enrollments. This will cause the LMS to look for another profile for that user to which it can move the enrollment. The LMS will first look at the user’s primary profile, and then the secondary profile (starting with the oldest) until it has gone through all the profiles. It will stop once it finds a profile that is attached to a business unit which has that course, and move the course enrollment to that profile. However, if the LMS cannot find a profile which has access to the course, it will cancel the enrollment.
If you find that the LMS continues to cancel enrollments even though you have turned on “Move Enrollments”, double-check the remaining profiles of the student; make sure they are associated with Locations attached to a Business Unit which has that course in its catalog.
Course Search by Key Word
Course search has been enhanced to make keywords in the title more important. This should cause you to see more relevant search results whenever you execute a search. In addition, we have enhanced search to support partial-string searches.
Search Results
For full-text searches, the LMS will return results based on the following weightings per field.
- Title: 25
- Code: 20
- Descriptions: 7
- Notes: 5
Therefore, if a search string is found in the title, it will be ranked higher in the search results than the course code, which is ranked higher than description, etc. As an example, if the system finds a search term in the description, it will be weighted about a quarter (7 vs 25) of the value of finding it in the title. Thus, if you are finding that search results don’t match what you expect, try entering the search terms in the title, descriptions and notes to make your search results appear higher in the list of results.
For partial word searches, the LMS will return results based on the following weightings per field.
- Title: 3.5
- Code: 3.0
- Descriptions: 2.5
- Notes: 2.0
Again, if you are finding that your search results don’t match what you expect, trying entering the partial strings (embedded in words) in the course title, description and notes.
