On December 11, LatitudeLearning® released exciting changes to the process of confirming the completion of courses with a Self-Study delivery method. Prior to this enhancement, only students or portal administrators could certify completion of self-study courses, depending on the course settings. Now, a student's manager can also verify completion, upload supporting documentation, and review the uploaded materials with the student. This enables flexibility in completion options for these already very flexible self-paced learning courses.
Here's a quick look at what this enhancement entails.
Course Field Updates
The Course Details for the Self-Study courses contains these changes:
- The Self-Certified field label is now called Completion Type.
- The Completion Type selection options are: Admin-Managed, Self-Certified (default), and Manager-Certified.
Completion Types Overview
The Completion Type used when configuring the course determines the process required to achieve a completion for a Self-Study course.
- Admin-Managed: Select this option so that only the portal administrator can certify the completion. This would require editing the user and updating their Training History transcript manually.
- Self-Certified: Select this option to allow the student to self-certify their own completion. This is the default setting and the process for using it is unchanged from pre-enhancement student self-certification.
- Manager-Certified: Select this option to trigger a process in which a manager or administrator can verify the completion of the self-study content. The first step requires the student to click the Manager Certify button when they have finished the course content and requirements. This triggers an approval workflow for managers and administrators which can be processed like other LMS approval requirements from the Approvals page or from My Team - Approvals. The enhancement includes two new messages tied to the Manager-Certified completion type: Manager - Self-Study Certification Completion Notification sent to the student's manager or administrator and Student - Self-Study Certification Completion Request Denied which is sent to a student if their manager denies the request to certify their completion.
Manager-Certified Completion - Student Experience
When Manager-Certified is the specified completion type, the student experience will look like the image below. On the course slide-in, the following Action buttons are available: A) Transcript Attachments, which allows the upload of documents to be associated with the transcript and B) Manager Certify, which when clicked, triggers the notification process to the manager that the self-study work is ready for review and approval.
Manager-Certified Completion - Manager Experience
The new manager experience looks like this from the responsive user interface Approvals page and the My Team Approvals page. The Approval Type will display in the expanded approval list details as Self-Study Completion. Clicking a Course Name on the list opens the Course slide-in, as shown, with a status Pending Manager Certification. Action buttons on the slide-in for the manager are: A) Transcript Attachments, B) Approve to set the status to Pass, C) Deny deny the completion, and D) Fail to set the status to Fail.
Manager-Certified Completion - Using Attachments
Prior to submitting the completion request to the manager, the student may upload documents to the transcript (A). During the manager's completion step, the manager or administrator can add attachments. A manager can add documents until they approve the completion. A portal administrator may update the transcript with new documents at any time using standard Transcript Edit administration functionality. After attachments are loaded, a red dot appears on the Transcript Attachments icon on the course slide-in to indicate items are available for viewing. When it is still possible to upload attachments, the manager and the student will still be able to view: (A) The select and upload section and (B) the list of previously uploaded documents and files. The upload area shown below is not displayed if the logged in user has already submitted or approved the request. In that case, only existing uploads noted by (B) will display.
This enhancement expands the flexible options available for your organization to use the Self-Study delivery method. In addition to "read and sign" types of learning activities, the ability to track on-the-job training checklists, onboarding and mentoring activities, and other learning events that don't fit the mold of Classroom offerings, Assessments, and eLearning.
