LatitudeLearning released two important features to the My Team dashboard on April 28, 2019.
My Team Honors a True Person-to-Person Reporting Structure
To grant a user administrative or managerial oversight, Portal Administrators can choose between two different types of reporting relationships between LMS users: a Position Code hierarchy or a direct Person-to-Person structure. The Position Code hierarchy uses a combination of Position relationships and Organization assignments to determine who is responsible for managing others at any given location. With Person-to-Person reporting, a user may have zero, one, or multiple managers across multiple locations, reflecting the way many organizations are structured today.
To honor the true nature of a Person-to-Person Reporting Hierarchy, the My Team dashboard will now consider the combination of Manager Relationships and user's highest Role assignment to determine their list of employees. This new scoping logic allows managers to assign goals, approve course enrollments, and track learning progress for any person they are responsible for training, regardless of their Position or Organization assignments.
It's important to understand how a user's Role assignment affects their training responsibilities and LMS experience. In the Person-to-Person hierarchy, LMS Roles fall into one of two categories:
- Administrator = Portal Administrator, Administrator, Instructor, Location Administrator
- Manager = Location Manager, Student
A user’s highest role assignment at each organization will control how their user lists are scoped:
- Administrators will see all users at their assigned Organizations. User search components should disregard the administrator’s Position Code and Manager Relationships so that they can search, manage, and train all users in their organization tree.
- Managers will only be scoped by their personal reporting hierarchy; ignoring Organization scoping in all user list components and displaying everyone who falls under their Manager tree.
- Users who have a combination of administrator profiles and direct reports will see a unified employee list across the organization structure. Meaning, people assigned the role Location Administrator, Administrator, Instructor, or Portal Administrator will continue to see an list of all users at their training Organization, plus their direct reports (via Manager Relationships) across the LMS structure.
To accommodate this flexible reporting structure, we updated the user "Position" filter to provide all active Position Codes, and applied the full scoping enhancement to the Announcements page.
Pending Approvals
Training coordinators will now manage employee requests for new account registration, security lockouts, interest list additions, or course enrollments from a single Pending Approvals page, replacing the functionality of three legacy pages.
Access your pending requests directly from the Navigation page via the Pending Approvals icon or from your My Team dashboard. Use the Filter component to refine the list of requests by Organization, Position, or User criteria. Apply "None" to see all. Sort the list by clicking column headers. Notice that each Type of request will display different icons, training information, and Action options. Learn more HERE.
Course Enrollment -- When a student enrolls in a course that requires approval, it is a manager's responsibility to approve, deny, or pay tuition in order to complete the enrollment request.
Course Interest -- If student is currently ineligible or otherwise unable to enroll in a desired course, they may still express an interest in future enrollment opportunities. Courses set to "Allow Interest List" and "Require Approval" will prompt managers to review such requests, allowing them to determine who should attend the next training session.
User Access -- There are two kinds of user access requests, demarcated by the "Pending Approval" description and "Action" options listed. Click the User icon to expand their account and profile information, before deciding to approve or deny access.
- Unlock User -- LatitudeLearning has an Account Lockout security policy. Anyone who fails too many attempts at log in with an incorrect password will be locked out of the system.
- User Registration -- A new user wants to register at your LMS organization.
